  • Travel preferences (interests, pace, budget comfort level, accommodation style)
  • Transport preferences (train-first, day trips, willingness to hire a car, etc.)

Please do not include sensitive personal data (for example, health information) unless it is strictly necessary. If you choose to share information such as allergies or accessibility needs to tailor your itinerary, we will only use it for that purpose.

f) Scheduling data (optional calls)
If you book an optional call via Calendly, we may collect:

  • Name
  • Email address
  • Selected time slot
  • Any notes you add in the scheduling form

g) Itinerary delivery data (PDF by email or OneDrive link)
Your itinerary document may include the travel preferences you provided (for example interests, pace, transport choices). We deliver it either:

  • by email as a PDF attachment, or
  • via a link to a file stored in Microsoft OneDrive

h) Payment and invoicing data (PayPal + invoices)
If you purchase a travel planning service, we may process:

  • Payment confirmation and transaction references (via PayPal)
  • Invoice details (for example: name, email address, invoice number, purchased service, date, amount)

We do not receive or store your full payment card details.

3. Legal Bases for Processing (GDPR)

We process your personal data on the following legal bases:

  • Consent (Art. 6(1)(a) GDPR) for newsletters and optional cookies.
  • Contract and pre-contract steps (Art. 6(1)(b) GDPR) to respond to travel planning requests, prepare and deliver itineraries, and communicate with you about the service.

We use personal data to:

Important notes about third parties:

  • PayPal processes your personal data according to its own privacy statement and may act as an independent controller for its services.
  • Microsoft and Calendly also process personal data according to their own privacy documentation and may act as controllers or processors depending on the context.

6. International Transfers (outside the EEA)

Some service providers may process personal data outside the European Economic Area (EEA). Where this happens, we ensure appropriate safeguards are used, such as an adequacy decision or Standard Contractual Clauses, as required by GDPR.

7. Data Retention

We retain data only as long as necessary for the stated purposes:

  • Travel planning enquiries and questionnaire responses: up to 12 months after delivery of your itinerary (to support follow-up and the one included revision)
  • Delivered itineraries: up to 12 months after delivery (unless you ask us to delete sooner, where legally possible)
  • Calendly scheduling information: up to 12 months after the call date (or cancellation date)
  • Contact form messages: up to 12 months
  • Newsletter subscriptions: until you unsubscribe
  • Server logs: typically up to 30 days, depending on hosting provider
  • Analytics data: according to your analytics provider settings
  • Invoices and accounting records: 7 years, starting from the end of the calendar year the record relates to (where applicable under Austrian retention obligations)

8. Your GDPR Rights

You have the right to:

  • Access your personal data

  • Request deletion of your data (where applicable)
